Email is used to send a message to the recipients, which can be:

· Promotional or sales

· Informational

· Contact

· Etc.

In other words, we can use an email campaign as a direct means of communication between us, our company, and a list of subscribers, customers, or contacts who are going to receive our message (email).

Ultimately, it’s a communication tool that will allow us to get our message across, whatever type it may be, to our target audience.

This is a simplified and straightforward definition, but I think it works as a foundation for understanding the usefulness and benefits we’ll discuss now.

· Sales vs Marketing?

These classic marketing concepts mark a difference in our company’s approach.

When the orientation is toward sales, the only thing that matters to us is selling.

Of course, this is something vital for every company.

However, one thing is to sell as much product as possible without thinking about customers’ needs.

And another thing is to sell while thinking about the customer’s needs.

Translated into sending mailings, it would be something like sending a pile of emails that might sell a camping tent, work clothes, shoes, etc.:

[su_quote]With no segmentation at all, there’s no need to even worry about the customer’s real needs.[/su_quote]

If they sell something, great, and if they don’t sell, well, they add more emails to the list. It’s very accessible, so if we don’t offer an option for the subscriber to unsubscribe, this will be the option they use.

An option that will affect our sending reputation, and that can cause our subsequent emails not to reach their destination. Not even the people who do want to receive them.

Also, remember everything we’ve talked about regarding engagement and its importance.

Therefore, we don’t want to have subscribers who aren’t interested in receiving our emails, so we offer them the option to unsubscribe.

► Can we do it even better?

Well, the truth is yes, we have an even better option to keep only the subscribers who are going to be genuinely interested.

The option would be, in this case, to send a first email with a link that leads to a page where we can sign up for the list.

This way we can be sure that the subscribers who click the link and register really will be interested in receiving the emails we’re going to send them.

There will be fewer of them, but we’ll get better results with our campaigns. Remember that in email marketing quality is more important than quantity.

And from this first send onward, how often are we going to send?

We have to think about a sending frequency for our email campaigns that allows us to:

[su_list icon=”icon: hand-o-right” icon_color=”#38aaf8″]

Keep the subscriber from forgetting about us

And also not overwhelm them with too many emails[/su_list]

As a general rule, it’s best to avoid extremes: neither sending an email every 6 months nor one every day.

[su_box title=”My recommendation” box_color=”#27334d” title_color=”#38aaf8″]It’s best to start with a reasonable frequency, 1 mailing weekly or every 15 days, and from there, watching the statistics, start running tests. [/su_box]

That said, remember that sending for the sake of sending won’t do us any good.

Each send we make has to have a goal, or be framed within a strategy.

[su_list icon=”icon: check-circle” icon_color=”#38aaf8″]

Sell a product or service

Share content from our blog, framed within a content marketing strategy

Show a new product or service

Or simply seek the contacts’ opinion[/su_list]

Avoid self-promotion in your mailings whenever possible.

Remember those newsletters full of company news from the company that sent them? Nobody reads that, it’s boring.

We have to think about the subscribers’ interests, to give subscribers what they need, and to keep them interested until the time comes when we try to sell to them again.

· What do we do if we don’t have a list?

If we start with 0 subscribers we’ll be avoiding some problems. It’s clear that we’ll have others, like the limited initial impact of our actions.

What’s clear is that we have to maximize our ability to capture emails, so that the traffic we bring in gets registered.

But before starting, there’s something we need to have properly configured: the SPF record we mentioned earlier.

This is going to be very necessary, even if we start without a list, it’s necessary for sending emails from whichever email marketing tool you choose.

If you didn’t do this configuration in the previous chapter, do it now.

Ways to capture subscribers, types of opt-in

► What is single opt-in? ⇒ in this case the visitor arrives at our site, enters their details in the form (name, email, etc.) and registers.

The email is registered directly on the list and the user doesn’t have to do anything else. In some cases the subscriber may receive an email informing them of the subscription, but it will be a purely informational email.

► What is double opt-in? ⇒ on the contrary, in this case, the user arrives at our website and registers on the form.

To validate the email and have it activated on our subscriber list and database, the user must first confirm the subscription by clicking a link they’ll receive in an email. That is, they receive an email informing them of the subscription, which also includes a link that they must click to validate the subscription.

Email marketing tools like Mailrelay work only with double opt-in because of the following advantages it offers:

[su_list icon=”icon: thumbs-o-up” icon_color=”#38aaf8″]

It prevents the inclusion of incorrect emails on the list, which can affect the sending reputation (bounces)

It prevents malicious actions, like registering other people without any verification

It prevents registrations originating from internet bots[/su_list]

In general, double opt-in helps us generate subscriber lists with fewer errors and with subscribers genuinely interested in being subscribed.

· How are we going to capture subscribers for our list?

For this we have countless options to grow our subscriber list, from offline options, like capturing contacts at trade fairs, to the different online promotions we can generate.

In the online world it’s common to use some type of subscription form. So that, if they subscribe, we’ll have their preferences as well as their email.

Creating different subscription forms for each section of the website can mean more work, but it will also make our email campaigns more effective.

· Some tricks to make your popups more effective

A) Judgment shortcuts

Normally, we humans tend to take shortcuts in our reasoning; for example, we tend to think that more expensive products are better, or that whatever the majority does or uses is best for us too.

These judgment shortcuts allow us to make quick decisions, and in our day-to-day they’re very useful for not having to stop and think about every little decision we make.

We can use this trait to our advantage in the popups we create, taking advantage, for example, of the reasoning that what’s good for the majority will be good for us too.

[su_box title=”For example” box_color=”#27334d” title_color=”#38aaf8″]You can show in your popup the number of customers or subscribers you have. If it’s a high number it will increase social proof[/su_box]

B) Returning favors

Another very human trait is returning the favors done for us. It’s something necessary, because to live in society we often need to help one another.

And whoever doesn’t return favors can find themselves excluded from society. That’s why when someone does us a favor we feel compelled to return it.

And this is something we can take advantage of in our popups.

On one hand we can program the popup so it’s not instant, but rather appears a little while later, so the visitor has already found what they were looking for on our website (information, tips, a tutorial, etc.), and once we’ve already “offered them something” we ask for their email in return.

If we also give them something more like an ebook or a course related to what they searched for, all the better.

C) Rejection and retreat

This is a trick based on the previous one, reciprocity; it complements it and works very well with the discounts we can offer.

The popups we’ll use to take advantage of this strategy will be programmed to appear when the user is about to leave the website, moving the mouse pointer toward the top of the page.

The tactic is based on us making an offer, which would be the usual prices of our products or services, that the user “rejects” when trying to leave the website.

Then we execute the “retreat” by offering a lower price, a discount, or some extra, right at the moment the user is about to leave our website.

If we’ve done things right, and the user was interested in what we offer, it will be much more likely that they give us their email.

D) Scarcity of products or services

This is a very common resource that you’ve surely seen used on more than one occasion, in online stores, emails, popups, everywhere.

Basically it’s used a lot because it works and gives good results.

Even online stores that couldn’t possibly have stock problems, as is the case with Amazon, use this technique.

In our subscription popups we can use this resource by indicating that the offer will only be available for a limited time, only a certain number of units or spots available in the case of an online training.

[su_box title=”You may also be interested in” box_color=”#27334d” title_color=”#38aaf8″]I want to add a pop up to capture subscribers![/su_box]

But it’s not all popups!

We can also have landing pages to capture emails:

[su_list icon=”icon: arrow-circle-o-up” icon_color=”#38aaf8″]

For an event we’re going to hold

A webinar

Offering an ebook

A contest[/su_list]

It would be a page whose goal is for the visitor to be able to subscribe, like the one you can see in the following image.

[su_box title=”Important” box_color=”#27334d” title_color=”#38aaf8″]The rule is that, if we’re generating traffic to our website, we have to be able to obtain the emails of the people who visit the website. Otherwise we’d be wasting the investment we’re making. [/su_box]

· What do we do with inactive subscribers?

Over time, as we work with our email campaigns and send mailings, it’s very likely that some subscribers will gradually lose interest.

It’s normal, but it can negatively affect the development and results of our sends.

Nobody stays interested forever!

This is perhaps more common when we work B2C (business to customer), because normally the industrial customer tends to remain loyal for longer.

► What types of inactive subscribers can we come across?

In my opinion there are at least two types of inactive subscribers:

[su_list icon=”icon: arrow-circle-right” icon_color=”#38aaf8″]

The subscriber who never opens the emails and simply deletes them. It’s normal, we receive many emails and can’t pay attention to everything, but from our perspective as managers of a company’s email campaigns we have to be careful with these subscribers.

The first case would be worse for our email campaigns, because they don’t even open the emails we’re sending. And this is very negative for engagement.

But in the second case, although they open the emails, they don’t show much interest in what we’re sending them, nor in our products or services. Because they don’t click on the links we include.

Don’t confuse them with active subscribers who don’t buy

Sometimes we’ll have subscribers who don’t buy, for now! but in the meantime they open our emails, share our articles, comment, and in general are active.

These subscribers are very useful:

[su_list icon=”icon: thumbs-o-up” icon_color=”#38aaf8″]

Because they share our content, increasing brand reach

They can become advocates, recommending our products[/su_list]

Going back to the two previous cases, what we’ll perceive is a lack of clicks.

And this is what we’ll have to be careful with, and use the features our email marketing tool gives us to keep our list healthy and, above all, effective.

The first thing is perhaps to understand the process a subscriber goes through.

· Common stages a subscriber goes through

Without aiming to be exhaustive, the general stages a subscriber would go through would be:

1) Discovery/acquisition

It’s at this stage that the subscriber is captured, whether at a trade fair or event, or through our website or a landing page.

If we’ve done things right, the usual thing is for the subscriber to be very active at this stage.

2) Subscriber

During this stage the subscriber will behave like a normal subscriber, opening the emails, replying, commenting. In this case the evolution would be toward customer.

3) Customer

At this stage the subscriber has already purchased our products or services, and has become a customer.

It’s also common for a recent customer to open our emails regularly.

4) Loss of interest

After becoming a customer, we’ll have to make an effort to keep the customer’s interest, providing value, or otherwise they’ll gradually lose interest in our products or services.

5) Unsubscribe

At the moment they no longer have any interest in our mailings, the subscriber will unsubscribe.

[su_box title=”Important” box_color=”#27334d” title_color=”#38aaf8″]If we don’t allow them to unsubscribe, by including unsubscribe links in our design, we’ll keep an uninterested subscriber on our list who, with their lack of engagement, will gradually affect our results. [/su_box]

One doesn’t matter, but as the volume grows, it does affect us.

► And what about subscribers who could unsubscribe but don’t?

This is also very common, and they’re subscribers who behave as we’ve seen, deleting the emails.

But they don’t unsubscribe from our contact list.

In this case we’ll have to use a feature of our email marketing tool that allows us to “detect” these subscribers.

For example, Mailrelay has a star filter that scores subscribers’ engagement and allows us to filter out those who don’t react much to our sends:

This way we can segment inactive subscribers and separate them, moving them to other groups.

► And once we’ve done this, what do we do?

The most important thing in this case would be to stop sending them the same things. Although it’s not necessary to delete them outright either. We can separate them into another group as we were discussing earlier.

And in that case we’ll have more options for working with these subscribers in our email marketing campaigns:

[su_list icon=”icon: arrow-circle-right” icon_color=”#38aaf8″]

Sending them different mailings, perhaps with some promotion, or less usual content.

Keeping them separate to contact them only in specific cases, like the launch of a new product or feature, or in the case of a great offer.

Sending them a mailing to confirm whether they’re still interested in our emails, and if not, to unsubscribe.[/su_list]

We can use whatever strategy we want, but the important thing is not to keep doing the same thing, because in that case we’d be ignoring a problem that isn’t going to solve itself.

► How often should we review inactive subscribers?

This is variable, but at least once a month wouldn’t be bad, so that too many don’t pile up.

► How long does a subscriber have to be inactive for us to consider them as such and unsubscribe them from our mailings?

There are many opinions on this; some consider three months, others six, or even a year.

For me three months is enough; if in three months they haven’t been interested in anything we’ve sent them, it’s not likely that things will suddenly change. Always keeping in mind that there may be vacation periods in between, etc.

Features like Mailrelay’s automate this process, but it can be done by hand with different filters.

Wrapping up

As you’ve been able to read throughout the post, the process for creating a good mailing involves a whole series of necessary steps, requirements, and actions to carry out that in a decisive way will be key to the success or failure of your campaigns.

By following the advice I’ve given you and using tools like Mailrelay, the whole process becomes much simpler and, above all, we have a better chance of getting better results.

This extensive guide on how to send a mailing has come to an end.

Let me know your questions about it so I can help you resolve them in the comments; at Mailrelay we have the best email marketing experts.

Before we talk about how to send a mailing, we need to look at a difference between what would be: Email marketing vs mass email.
